The responsibilities of an Executive Assistant play an important role in the overall business operation of an organization. An Executive Assistant has an essential contribution in the company especially in terms of helping the President to make his or her job easier. In relation to this, an Executive Assistant also aid in making the President manage all his or her responsibilities by helping him or her in organizing appointments, preparing reports, handling confidential correspondence, and other related responsibilities.
As such, it is essential that an Executive Assistant have the proper training in order to improve his or her skills in terms of technical knowledge and social interaction.
The training for the Executive Assistant would focus on technical skills as well as enhancing the social interaction of employees who has this position. After the training, the learners would be able to have the necessary skill in order to adapt to technological changes that involves using new gadgets and software that are involved in their administrative responsibilities (Jem, 2009 a).
In line with this, the learners would also enhance their adaptive and efficiency skills that would help administrative assistants to support people quickly, accurately, and efficiently that will make the job done well in the least possible span of time (Jem, 2009 b). The training would be attended by at least ten people and the duration of training would only last for at least two days. Being the case, the objective of this activity is that after the training the executive assistants would be able to acquire and develop the technical and social skills that it would focus on.
In order to gauge whether the learners achieved the objectives of the training, the trainees would answer an evaluation material. The evaluation would focus on real-life situations that the trainees would have to deal with in their job. The way by which they answer these questions that are patterned after real-life scenarios would identify whether the trainees indeed learn something from the training (The Development Company, 2004). In order to make the training effective, it is essential that the proper training materials and activities would be used.
The training should have at least two major parts. The first part is the information dissemination section that would contain the lecture materials, which will allow the trainees to have the necessary knowledge about the skills that they need to learn or develop. Afterwards, the second part would focus on the application of this knowledge to the responsibilities of an executive assistant and the challenges they have to face everyday in their work.
Lastly, the facilitators of the training should also have an effective introduction to start the training. They should use an opening that would capture the attention of the trainees and they could be able to do so by making a statement that is connected with the everyday activities and interests (The Development Company, 2004).
