Overview of the network solution:

Ultimate Recruitment wishes to update their current outdated network and communication system between their two offices. Our company ------------ has observed and analysed all the current outdated equipment and limitations of their network system. Our newly designed network system will help them move forward with the usage of technology and improve the overall operations of the company.

The main component of this network system is cloud computing. This refers to storing all the company's resources and data on a third-party server machine rather than having them on the local servers.

Both the Wollongong and Kiama branch's data will be stored in a central cloud server and provide them the flexibility to easily transfer data between two branches. There are various benefits of using cloud-based services such as increased security, centralized collaboration, scalability, time and cost-efficient and accessible from anywhere and anytime needed.

Moreover, this network system incorporates VPN (Virtual Private Network) tunnels and a VPN gateway which acts as a secure layer that prevents unauthorized access to the system.

Also, a backup server will be attached to the LAN in case if something goes wrong with the data stored in Cloud. Using the wireless network is a better solution as it is easy to set up, provides mobility, convenience and the ability the network with the existing network.

Explanation of network design:

Wollongong branch:

In the Wollongong office, wireless local area network will be established. All the hardware devices (mobile phone, laptop, projector, desktop, IP phone, and printer/scanner) will be connected to the router and then router is connected to the modem which provides the devices internet access. Both the router and the modem will be placed in the lobby. Ethernet wires will not be needed as all the devices are connected to the router using WI-FI. This eliminates a lot of disadvantages faced by using a wired network system.

Currently, there are 8 staff working in the office. Except one administration staff, the others will be provided a new laptop because they spend approximately half of their time outside the office in meetings with clients. As the administrative staff is in generally in the office managing the organisation, she will be given a desktop. Along with that, all of them will have an IP telephone. As all of the equipment (desktop and laptop) are old and outdated, our team highly recommends you replace them so that it can significantly improve the efficiency of your business operations.

Moreover, we realised that your company is using outdated software systems such as Windows XP, Windows Server 2003 and Microsoft Office 2007. These systems are out-dated and will upgraded in our proposed network design. These changes can help them utilize the benefits of the latest technologies exist in the market (detail explanation is in the 'Systems Applications' section)

At present, meeting rooms are nearly empty except a table for staff to sit around and talk with clients. They just rely on voice communications and there is absence of visual presentations. Additionally, with the opening of a new Kiama branch, communication between two branches is highly essential. However, with the current technology, the meetings and conferences will need to be held physically (face to face) and via telephone. This will not be time and cost-effective. Thus, to engage the clients and to facilitate effortless communication between the two branches, a projector and a projector screen will be set up in all the 3 meeting rooms. So, an online video conference meeting can be arranged using Skype. The projector is wireless, and it can be easily connected to the laptop using Wi-Fi before the meeting takes place. This will reduce the phone costs and constant trips between two offices.

Then, we recognized that as some of the current devices are old and troublesome to build the latest network system, we suggest that the router, modem, printer, and scanner needs to be renewed.

Kiama branch:

With the opening of the new Kiama office, necessary equipment needs to be purchased to build the network system. This office consists of a meeting room, an office and a lobby. There will be 2 staff working in this office. This office will be step in the same way as the Wollongong branch. A router and modem will be step up in the lobby and this position allows Wi-Fi waves to be uniformly distributed to other rooms in the office. A printer/scanner will also be placed so that it is accessible by both staffs. We also recommend that these two staffs use laptops as it is portable so they can be used even outside of the office. The meeting room set up will be the same to the Wollongong office - A new projector will be installed to allow video conference meetings. Whenever the meeting takes place, the laptop will be connected to the projector using a Wi-Fi. As it is a rented location, new cables through the wall cannot be setup. So, the wireless LAN is an ideal option.

The company's server for both the branches is cloud-based and it is secured by VPN gateway and VPN tunnelling protocols which means that anyone who needs to access the server needs to be authorised. Also, an additional backup server will be kept in both offices if the data in the cloud is damaged (quite rare).

Cloud computing:

Cloud computing refers to storing the resources and data in a third-party server rather than on your local servers. Cloud hosting has become increasingly popular in recent years due to its competitive advantages and cost-efficiency. In our proposed system, Ultimate Recruitment will be using the cloud server to store all its data. Both the Wollongong and Kiama branch offices can have access to the company's server from anywhere and at any time. As the staff does not currently have access to the office's system outside of the office, they have to enter all their handwritten notes into the software system when they return to work. This makes the staff less productive. Thus, this problem can be eliminated now as they can easily access the data outside of the office (example - home) using a secured login system to the cloud server.

Moreover, the centralized cloud platform can allow both the branch offices to be connected and they can collaborate. They can easily share their work and the communication between the two offices will be more efficient.

Benefits of cloud server:

· Security: All the data is securely stored in the cloud using its security features such as encryption and regular backup processes. Regardless of the data in the hardware system is lost or the laptop is stolen, the data will be safely stored in the cloud computing.

· Collaboration: Cloud computing allows the members of a company to easily view and share information with others. This will reduce the process of the team members sending emails back and forth to share their work. All of the team members can access the same files, and this will result in increased efficiency and engagement.

· Accessible from anywhere and anytime: With dedicated servers, the staff cannot access the company's data outside of the office and whenever it is required. With the cloud, remote users can have remote access to the server whenever and wherever they require.

· Scalability: If the company grows or changes, using dedicated local servers will be expensive, time-consuming and a complex process. Using the cloud, it is easily possible to scale up (more storage) or scale down (less storage) at any point and we only have to pay for what we use.

· Cost-efficient: Compared to hosting own local servers, the financial investments are minimal in the long-term, but they can still have access to powerful processors with considerable storage space.

· Time savings: Cloud server is easy, simple and does not require any time-consuming installation and maintenance.

Hence, the cloud server will allow the users to have many long-time benefits for your business and can dramatically increase the efficiency of Ultimate Recruitment.

Even though the data is safely stored in cloud servers, the business will have to invest in private backup servers if the data in the cloud is damaged.

Virtual Private Network (VPN):

A VPN is a program that creates a secure encrypted connection between remote users and a company's server over a public internet using a tunnelling protocol and security procedures. With a VPN, remote workers can safely access a company's private network through the internet. So, when the user accesses the cloud server, the data is encrypted and encapsulated before it is sent and when the data is received at the other end, it is decapsulated and decrypted for the user to interpret. Thus, VPN serves as a reliable and secure system when exchanging and saving data in the cloud server over the internet.

The cloud server is secured with VPN gateway (a system that connects the network areas between Wollongong and Kiama branches) and VPN tunnels which means that only authorised users access the server.

Advantages of using a wireless network:

In both of the branches, Wireless Local Area Network (WLAN) will be used to connect all the nodes within the network. This system uses radio waves to connect devices and to the internet. We highly suggest that using wireless network has many advantages when compared to a wired network with ethernet cables and switches. The benefits of a wireless network are as follows:

  • · Easy to expand - can effortlessly expand the network with existing equipment
