The management task for a hotel consists of a number of processes like room reservation, room services , front desk , lodging, transport, food and beverages , security , staff management etc. these processes involve a lot of information which is created and shared between them and it is only imperative that there should exist a centralized information management system to effectively facilitate this information sharing for the smooth functioning of the hotel business.
This system will indeed help the hotel management and the esteemed staff members to manage and steer the hotel’s functionality and transactions to realize its maximum potential in addition to its competence in the hotel business field. SCOPE AND DELIMITATION
This study will focus only to the process of Villa Pena Resort Reservation System. It covers the registration of the guests, room accommodations rate, changing and cancelling of reservations, room type’s availability, hotel amenities and other offers. The system is expected to accept the demographic profile from customer’s such as names, address, contact number, room type, duration of stay. The system will then store the accepted data in a database for future usage. However, this study will not accept any kind of payments such as cash, cheque, and credit card.
In developing an effective system, the primary factor considering is to develop a better understanding of the current system and its prevailing problems. This chapter explains how the current system work description of the researchers’ proposal, which aimed to solve the problems encountered by the current system , regarding the reservation .
THE CURRENT SYSTEM
In its current operation, the reservation of Villa Pena Resort is not yet fully computerized because some processes are still using a manual method. The front desk needs to search, update and keep every clients record into a filing cabinet where document are stored. This method of record keeping is time consuming. Moreover, on the part of the Client some of reservation is using electronic spreadsheet.
The proposed system shall utilize a minimum of two computers. One computer will be assigned for the front disk and one is for the admin office. The system comprises an electronic database and shall reside on the computer assigned for the admin office. The front desk will log in as a user name in Villa Peña Resort Reservation System, where she can view the dashboard, the table information of every room’s status, the menu script such as reservation, reports.
If the front desk wants to add rooms and amenities reservation, she will perform the reservation process, while the manager will log in as admin name in Villa Peña reservation System, were he can view the dashboard and check the record The approved reservation and currently check-in customer’s is viewed in the table management. To approved reservation system the front desk have to ask the customer if the reservation is final.
COST AND BENEFIT ANALYSIS
The computerization of the current system involved financial sustain or funding. It is very essential to have a distinct financial resources and cost analysis in developing system to reach a certain goal. This proposal will be finally implemented in Villa Peña Resort with a required funding in developing system. In the cost and benefits analysis, the system will more likely have higher cost than the manual system but the Villa Peña Resort only need a one-time high cost on the proposed system and will afford the needed maintenance expense only.
After the estimated cost and the system by now is developed, Villa Peña Resort can completely utilize the system. The system who will be benefited: (1) The Management, the Villa Peña Resort can be able to make a fast, accurate and complete services than existing manual system. (2) Front Desk Officer, the paper works will be minimize while all the transaction will be directly stored to the database and produce required reports.(3) Costumer, it would be easy, simple and efficient transaction.
