Understanding Organisations and The Role of HR
To understand the role of the Human Resources function within an organisation it helps to understand the nature of the organisation, also appreciate the types of activities in which Human Resources may be involved within the organisation, know the company values, behaviours and culture, and be able to develop links with all levels of the organisation.
To complete my report I have conducted primary and secondary research.

3. Identify the Organisation and Brief description of it
As of 1st April 2012 the Brulines Group has undertaken an organisational re-structure to re-align to one company (Vianet Plc) with two distinct divisions. Vianet Group plc is the holding company for a group of companies involved in the provision of real-time monitoring systems and data management services, principally for the UK’s leisure and petrol forecourt services.
3.1The Leisure Division, named Vianet Ltd.
Vianet Limited and operates through the following brands/businesses: Brulines The core product, BMS (Beer Monitoring System), is widely used by owners and operators within the UK licensed on-trade, especially the tenanted / leased pub sector. Flow meters connected to draught beer dispense lines send data via an on-site communication panel to a secure central database. 3.2 The Fuel Division, named Vianet Fuel Solutions (VFS) Ltd. Supplies key management information and associated services to independent, multi branded owner, and supermarket petrol forecourt operators to ensure they have total visibility and control of their end-to-end business via a single web-based solution. . 3.3 Describe the products and service of that Organisation
The core product, BMS (Beer Monitoring System), is widely used by owners and operators within the UK licensed on-trade, especially the tenanted / leased pub sector. Flow meters connected to draught beer dispense lines send data via an on-site communication panel to a secure central database.
A more recent and rapidly growing product offer which is an extension of the Group’s BMS, i-Draught™ scrutinises the quality of products running through beer lines in a bar; measuring volume, temperature, flow rate and liquid type (e.g. beer, cleaning fluid or water) at the point of dispense.
3.3.3 Machine Insite
This is an international amusement and Amusement With Prizes (“AWP”) machine management company. Working with clients right across Europe, it currently manages over 38,000 machines and delivers a range of services, from simple data provision.
Is a pan-European leading provider of telemetry solutions and data applications to the vending industry – for all vending management needs, whether they are in operations, sales, and category management or field services.
3.3.5 Vianet Fuel Solutions (“VFS”),
Supplies key management information and associated services to independent, multi branded owner, and supermarket petrol forecourt operators to ensure they have total visibility and control of their end-to-end business via a single web-based solution. VFS is the UK market leader in fuel pump calibration, adjustment and legal verification.
3.4 Identify the customers and define their needs
Most of the customers are primarily within the pub retail sector (including major managed-estates and regional brewers) such as Punch, Young’s, Fillers and many more, though we also provide services to multi-site businesses such as Odeon Cinemas, Bourne Leisure and the Armed Services. On the fuel side of the business the company has customers such as Morrisons, Asda and Sainsbury’s. The needs of all customers whether this be on the leisure or fuel side of the business all the customers want is to receive accurate information on what they are dispensing to help maximise their profits. 3.5 The purpose, goals, targets and financial structure of the Organisation
To create for the business: Vianet will be the complete information and service provider the business industry.
Ultimately, every successful operator will recognise the need for Vianet information to run their business and will be recognised as a progressive employer with great people by its Customers, its Suppliers and its employees alike, to make monitoring and analysis a commonplace to reduce outlet losses, to improve quality of improve customers profits. By doing this it is anticipated that full year profits are expected to be around ?4.0 million and this will be in line with market expectations

3.6 External factors using PESTLE approach
PESTLE stands for – Political, Economic, Sociological, Technological, Legal, and Environmental. PESTLE analysis is in effect an audit of an organisation’s environmental influences with the purpose of using this information to guide strategic decision-making. The assumption is that if the organisation is able to audit its current environment and assess potential changes, it will be better placed than its competitors to respond to changes. To help make decisions and to plan for future events, organisations need to understand the wider ‘meso-economic’ and ‘macro-economic’ environments in which they operate. (The meso-economic environment is the one in which we operate and have limited influence or impact, the macro-environment includes all factors that influence an organisation but are out of its direct control).
An organisation on its own cannot affect these factors, nor can these factors directly affect the profitability of an organisation. But by understanding these environments, it is possible to take the advantage to maximise the opportunities and minimise the threats to the organisation. Conducting a strategic analysis entails scanning these economic environments to detect and understand the broad, long term trends. A PESTLE analysis is a useful tool for understanding the ‘big picture’ of the environment in which an organisation is operating. National Measurement Office (“NMO”), can issue enforcement notices to Remove from sale any products that fail its tests. This could lead to lose of faith by customers and lose of contract which ultimately loss of jobs, however the company test their products on a regular basis to ensure this does not happen.

Waste electrical and electronic equipment (WEEE), non compliance could cost companies up to ?5000.00, if the company was to be fined on this scale this could lead to loss of jobs. Increases in beer by almost 40% since 2008, more clients want Vianet products as this increases cash benefit by 2%, the company provide very accurate data and great customer for their customers to ensure the still want there services
The Health and Safety (Display Screen Equipment) Regulations 1992, although this is a cost to the company, it more beneficial for staffs well-being, The Health and Safety Manager has signed the company to a spec savers scheme to ensure we comply with the law.
4. Structure of The Organisation
As of 1st April 2012 the Group has undertaken an organisational re-structure To re-aligned to one company with two distinct divisions.
4.1 The Leisure Division, named Vianet Ltd.
Consists of 4 individual companies which we have merged together to provide delivery of solutions primarily by way of networks and web-based reporting. The Leisure focus will be on taking the iDraught, Nucleus Smart Till, Machine Insite, Viatelemetry, and Vendexpert brands to market. Brulines
4.2 The Fuel Division, named Vianet Fuel Solutions (VFS) Ltd. Vianet Fuel Solutions (VFS) will be the umbrella for selling a range of products and services which provide the only end to end solution for the petrol forecourt market.
4.3 Functions within Organisation
4.3.1 Human Resources
Human resources main responsibility is the recruitment, selection, training And development of staff. This involves developing staff to maximise their Potential in a manner that furthers the organisation’s objectives. Human resources also need to comply with legislation, in the UK employers We need to maintain accurate personal records in a manner that is compliant With the UK Data Protection Act 1984.
4.3.2 Finance Function
The financial section of the organisation keeps manual/electronic records of money received and paid out by the organisation. This information is then used to produce various financial statements for tax purposes and to comply with legal requirements. The information is also used to produce management accounts to enable senior managers to plan and review business strategy.
4.3.3 Sales and Marketing
The marketing department research customer needs to develop strategy and product to satisfy customer needs. In their research, the marketing department investigate the market place and the type of consumer making up the market. The marketing department also marry consumer preferences with producing a product that is profitable.
4.3.4 Customer Support Services (Admin)
This involves dealing with all administrative tasks including mail handling, dealing with enquiries/complaints, catering, and computer services. They deal with all documentation involving company vehicles they also maintain the Organisation’s premises and equipment.
4.3.5 How different Functions work to Optimise Performance
Each of the functions needs to work together so that the whole of the organisation has the same aims and objectives. To achieve this communication across the various functions is key. A starting point for this is the creation of a clear set of company objectives which each function is aware of. These objectives need to be further broken down into specific objectives for each function. Regular reviews of firstly how each function is performing against its objectives and secondly how the company is performing against its overall objective should ensure that the whole company is pulling in the same direction.
4.4 Culture of Organisation
An organization is nothing but a common platform where individuals from different backgrounds come together and work as a collective unit to achieve certain objectives and targets. The word organization derived from the Greek work “organon” is a set up where people join hands to earn a living for themselves as well as earn profits for the company. An organization consists of individuals with different specializations, educational qualifications and work experiences all working towards a common goal. Here the people are termed as employees. The employees are the major assets of an organization and contribute effectively in its successful functioning. It is essential for the employees to be loyal towards their organization and strive hard in furthering its brand image.
An organization can’t survive if the employees are not at all serious about it and treat their work as a burden. The employees must enjoy whatever they do for them to deliver their level best. They are driven by their vision and values, which the employees’ believe in aim to deliver. The company values and looks after its customers and is a progressive employer. Although the company is very sales focussed and driven to hit deadlines there is a very relaxed approach within the organisation which makes it enjoyable for employees to work there, the company is also very contentious about developing its staff ensuring they offer various nvq’s and other courses to enhance staff and the business
4.5 Three ways HR Activities Support an Organisation
Human Resources Manager (HRM), and Learning and Development entails planning, implementing, and managing recruitment, as well as selection, training, career, and organizational development initiatives within an organization. The goal of HRM is to maximize the productivity of an organization by optimizing the effectiveness of its employees while simultaneously improving the work life of employees and treating employees as valuable resources.
Consequently, HRM encompasses efforts to promote personal development, and compliance with employment-related laws. To achieve stability between employer and employee goals and needs, HRM departments focus on these three general functions or activities: planning, implementation, and evaluation. The planning function refers to the development of human resource policies and regulations. Human resource managers attempt to determine future HRM activities and plan for the implementation of HRM procedures to help companies realize their goals.
