1.1 Background of the Study

Knowing the status of the academic performance of a student at the end of the semester will save time, money and the anxiety of the students. In this generation of information technology, computer is considered the lifeblood of society. This technology has changed the ways of life work and the times. The technology, both in hardware and software, keeps changing, day in and day out, improving its performance. This is because as the latest knowledge of development in computer technology grows, the people’s standard increases; as the technology improves, the human standardize itself increases. They seek for better and more efficient ways to accomplish difficult task.

At this time, a person has adopted the modern technology. The use of this technology resulted to the computerized for greater ease and accuracy. The time of waiting for the result and the cost of money for transportation in order to know the performance result of the grades make the students think some actions that will save their money and time. For students who commute and take three rides to reach their school, they can only rely on their classmates who live nearer to their school by texting them if they have passed or not. In this way those who live afar need not go to school for this information alone. A means of addressing this problem will be the aim of this project study.

1.2 Statement of the Problem

The main problem of this project proposal was on how to save money and time and to reduce the anxiety of the students in inquiring about the status of their academic performance at the end of the semester. This project proposal aimed to answer the following questions:

1. Does this alert system would help the students determine their grade status periodically?
2. What would be advantages of this system academically?
3. What is the significant difference in obtaining periodically grades result, traditional and sms alert system?
4. What will be the benefits, the instructors will get from this project proposal?

1.3 Theoretical Framework

This SMS Alert System for students periodic grades would be possible through the use of computer which has the ability to store, retrieve and analyze data. Computer programs such as MySQL, Visual Basic, Adobe Photoshop will be the sequence of instructions that the computer will use to execute specific task. The GSM Modem will transmit the processed information in the form of SMS to the Mobile Phone of the Parents. This will be shown In the Diagram Below (Figure 1).

1.3.1 Software and Hardware Requirements Software

Software is an application program or an operating system that a computer can execute. It is a broad term that can imply one or many programs, and it can also refer to applications that may actually consist of more than one program.

There are some programming languages that can be used for the development of software, but the researcher decided to choose the Visual Basic 6.0; it is popular BASIC (Beginner’s All-purpose Symbolic Instruction Code) language compiler from Microsoft, available for DOS (Disk Operating System) and for Windows. Visual Basic 6.0 manages the creation of the user interface automatically, including menus, dialogs boxes, and other interface elements.

This programming language uses an Object-Oriented Programming Language (OOPL) that gives the user an ease of using the computer, because it uses menus, forms and controls. It validates and checks the errors in using to perform simple database access and implements drag-and-drop capability through mouse instead of using the keyboard. The researcher also decided to choose the MySQL as database software, to retrieve data from storage device such as hard disk, or to log in to a computer system or network [1].

Visual Basic is a third-generation event-driven programming language and integrated development environment (IDE) from Microsoft for its COM programming model first released in 1991. Visual Basic is designed to be relatively easy to learn and use. Visual Basic was derived from BASIC and enables the rapid application development (RAD) of graphical user interface (GUI) applications, access to databases using Data Access Objects, Remote Data Objects, or ActiveX Data Objects, and creation of ActiveX controls and objects. VBA is effectively the same language as Visual Basic but VBA-code is tied to Microsoft Office and can only run within that environment. The scripting language VBScript is a subset of Visual Basic [2].

MySQL can be used for a variety of applications, but is most commonly found on Web servers. A website that uses MySQL may include Web pages that access information from a database. These pages are often referred to as “dynamic,” meaning the content of each page is generated from a database as the page loads. Websites that use dynamic Web pages are often referred to as database-driven websites[3].

XAMPP stands for “X (as in “cross-platform”), Apache, MySQL, PHP, Perl” and is a “solution stack package” that installs each of those items (don’t you just love techno-jargon?). Similarly there exists a WAMP, MAMP, and LAMP, standing for Windows, Mac, and Linux, respectively. I believe they condense the “P” to PHP/Perl/Python because Python is additionally included in the stack, whereas it’s not in XAMPP [4].

Adobe Photoshop is a graphics editing program developed and published by Adobe Systems. Adobe’s 2003 “Creative Suite” rebranding led to Adobe Photoshop 8’s renaming to Adobe Photoshop CS. Thus, Adobe Photoshop CS6 is the 13th major release of Adobe Photoshop. The CS rebranding also resulted in Adobe offering numerous software packages containing multiple Adobe programs for a reduced price. Adobe Photoshop is released in two editions: Adobe Photoshop, and Adobe Photoshop Extended, with the Extended having extra 3D image creation, motion graphics editing, and advanced image analysis features. Adobe Photoshop Extended is included in all of Adobe’s Creative Suite offerings except Design Standard, which includes the Adobe Photoshop edition [5]. Hardware

The hardware is all the physical electronic components of a computer system, including peripherals, printed circuit boards, displays and GSM modem. The researcher used the following devices/components: processor Pentium4 and above, 512 Megabytes to 26 Gigabytes of Random Access Memory (RAM), standard CD-ROM/DVD-ROM, 80 to 500 Gigabytes and 7200-8000 rpm Hard Disk Drivers, 2 Gigabytes of Flash Drive to back-up files, standard keyboard, LED/LCD monitor type, standard mouse, standard Universal Serial Bus (USB) controller, standard computer voltage regulator and Uninterruptible Power Supply (UPS. The researcher used dot matrix as default printer in printing reports and also back-up storage of 1 Terabytes of external hard disk for program and data [6].

GSM modem is a specialized type of modem which accepts a SIM card, and operates over a subscription to a mobile operator, just like a mobile phone. From the mobile operator perspective, a GSM modem looks just like a mobile phone[7].

Computer is a general purpose device that can be programmed to carry out a finite set of arithmetic or logical operations. Since a sequence of operations can be readily changed, the computer can solve more than one kind of problem. Conventionally, a computer consists of at least one processing element, typically a central processing unit (CPU) and some form of memory. The processing element carries out arithmetic and logic operations, and a sequencing and control unit that can change the order of operations based on stored information. Peripheral devices allow information to be retrieved from an external source, and the result of operations saved and retrieved[8].

1.4 Significance of the Study

This project proposal will be beneficial to the students, the instructors and personnel of the registrar’s office, and the future researchers.

For the students, knowing their academic status will help them especially those who live afar and also the students will be able to prepare if there is a need for completion in the case of getting an alert of INC, and for the subjects that they will be enrolling for the next semester in the case where the alert message will be “passed”.

For the instructors and the registrar’s office personnel, this proposed study will help them lessen their work in terms of posting the list and in entertaining students asking for their academic status of failed students and those who lacked in requirements for their compliance. In addition, the instructors can save time in looking for those students found in the list.

Lastly, for future researcher’s, this will serve as a source for comparison of related or similar studies. Also, this will motivate them to upgrade the system using other advance technology.

1.5Scope and Limitation

The project proposal was conducted in the computer laboratory room of Lyceum of Iligan Foundation. The personnel who would be involved are the assign clerk staff of the registrar’s office. The students cannot “text” back in this system.

This academic alert system will function at the end of every term of the semester and in summer; also the duration of encoding the status of the student academic performance will not be an integral part of this proposal. This will only focus on the academic performance rating which will be “passed”, “failed”, and incomplete (INC). Only the Management Information System (MIS) Administration and the Registrar will be the only authorized personnel to access the system.

1.6 Definition of Terms

In order to fully understand and to avoid misinterpretation, keywords relevant to the researchers study will be defined here correctly.

Personal Computeris a programmable machine that responds to a specific set of instructions. [9]. Automatic Voltage Regulator (AVR) is a device used to regulate the supply line voltage to a level that is safe for the equipment connected to it [10]. Visual Basic is a computer program developed and owned by microsoft [11].

GSM modemis a device that modulates outgoing digital signals from a computer or other digital device to signals for a GSM network and demodulates the incoming GSM signal and converts it to a digital signal for the computer or other digital device [12]. Adobe Photoshopis an industry standard for raster graphic manipulation, creation and editing [13]. MySQLis a Database used to store large data [14].

Graphical User Interface (GUI)is a type of user interface that allows users to interact with electronic devices using images rather than text commands [15].


This Chapter will discuss the different related literature and study of the proposed project.

2.1 Web Based Examination System

Imagine yourself taking an exam online that making someone think what are you doing or make someone impress how modernized your school is. There is no need of doing a test paper of the students that gives than a hard-from-pocket lost, in addition, the ink which will be used for the output of the papers. As for students from doing the traditional exams in papers, it’s easy to cheat or copy to one another and the use of hidden notes.

After exams, teachers and students take time to check the papers one by one which is time consuming and sometimes, mistakenly, checked the wrong answers. This system can benefit students and teachers. Starting with a student are lazy in taking their exams that they need to write their answers in the test paper. For the teachers this will lessen their time in doing the exams and checking the test papers of the students.

The system was developed by corresponding with the exam of the student and questionnaire and the correct answers to each question of the teachers. Each student and teachers will have a specific username and password in which they can access their account; through the admin they can have their account that they will used in our system. The teachers will know the numbers of the students who passed and who failed in the examination. There will be no time in taking the exams. There is a new technology arising every day. This technology is being used in this system. By using a computer and the internet, for the students they can access their exam and know their score for themselves[16].

This system is related to the proposal project because it use the technology to lessen the hassle of both student’s and the instructor’s and the personnel of the registrar’s office.

2.2 Automated Payroll System

Every worker remembers his or her first payday. Whether the check was big or small, there was a deep satisfaction in tearing open the envelope and seeing that dollar sign. Over the years, the checks may arrive with less fanfare, but always with a strong sense of pride. This is the nature of work; fair and timely compensation for a job well done. Payroll, at its most basic, is the process by which an employer pays an employee for work performed. If you own your own business, but don’t have any employees, then you do not have to worry about payroll.

But as soon as you hire your first worker, you have a responsibility to pay that employee on time and the correct amount. If employers fail in their payroll duties, their workers will be less motivated to fulfill their end of the bargain. They will be less productive and suffer from low morale. And if you make a mistake on an employee’s paycheck enough times, he will probably quit.

Changes in technology bring significance and advancement in our lives. From an industrial society, the researcher is in transition to an information society. The process of deriving in this transition and advancement of man are the computer and the people who strive to work for these changes. This advancement of computer had been a great factor in our daily living.

Nowadays, computer plays a big role in many people live in the world we live in today. This Payroll system is developed to manage and track attendance of all employees within School. This easily manageable payroll system along with time management system would record time in and time out of each employee through Finger Prints Scanner (BIO-Metrics System), Card Readers or Windows Login [17].

This is related to the proposed project study because it use the same application program in order to run the system which is the visual basic program and more importantly the propose project is more advance than this system because it uses the gadget that every human use daily in works and in school.

2.3Student Information System

The creation and management of accurate, uptodate information regarding a student’sacademic career is critically important in the management of a university. Previously, College relied heavily on paper records for this initiative. This research focuses on the design and implementation of a comprehensive student information system and user interface to replacethe current paper records. Honors College Staff are able to directly access all aspects of a student’s academic progress through a secure, online interface embedded in the college’s website. The system utilizes user authentication, displaying only information necessary for an individual’s duties. Additionally, each subsystem has authentication allowing authorized users to create or update information in that subsystem.

All data is thoroughly reviewed and validated on the server before actual record alteration occurs. In addition to a staff user interface, this system features a student user interface, allowing users to access information and submit requests electronically, saving both completion and processing time. All data is stored securely on SQL servers managed by the IT department. Standard best practices are employed throughout the system to ensure the highest possible level of security and standardization.

The system features a complex logging system to track all users’ access and ensure Conformity to data access guidelines. This system is expected to increase the efficiency of the college’s record management thereby decreasing the work hours needed to access and deliver student records to Users throughout the day, and again later to file these records. It is anticipated that this system will increase the efficiency of the department, and allow staff to better serve students [18].

2.4 Online Grading System

In essence, grading is an exercise in professional judgment on the part of instructors. It involves the collection and evaluation of evidence on students’ achievement or performance over a specified period of time, such as nine weeks, an academic semester, or entire college year. Through this process, various types of descriptive information and measures of students’ performance are converted into grades or marks that summarize students’ accomplishments. The increasing usage of computers in the mid and late 90’s gave way for the birth of a new technological advancement that had assisted teachers and professors to easily compute for grades, the digitization of spreadsheets.

The main advantage is speed, since no manual calculations are needed, and confirmation of grade for any further necessary alterations can also be performed more quickly than traditional means. Managing grades had become easier for instructors when using electronic spreadsheets. With the advancement of information technology at the turn of the millennium, the Internet suddenly became an important aspect for local and global connectivity. Because the world’s PCs were logically connected through the Internet medium, communication had been easier with the use of E-Mail, ICQ, message boards and other communication programs.

As the technology’s complexities and bandwidth arise, so does the need for software to utilize them. From basic text and images, innovation pushed web sites to include tools for specialized services. The need to inject applications to the fundamental web pages gave birth to server-side scripts like PHP, and database applications like MySQL. This project titled ONLINE GRADING SYSTEM is designed using HTML for Client Side and PHP for Server Side which helps in understanding different technologies. These exams covers almost all the concepts of technologies such as C, C++, C#, DOTNET, Java, SQL, Oracle such that it would be helpful for the users [19].

2.5 Online Examination System

The Online Examination System is a web based application developed in MySQL and PHP. This customized software has been developed for a leading Maritime

Academy located in Goa, India for all the courses conducted by them. This is run from an In–House Apache Web server on their internal network. The examination consists of different types of multiple choice questions. The questions are selected at random keeping the proper weight age for the various topics. The answers are evaluated and the marks obtained for each along with the answer given by the student are stored in the database.

The examiner can get the results immediately in various forms -the general mark list, the detailed general mark list where the marks obtained by the student in each topic of the subject is shown (red underline for below passing marks) as well as the answer sheet of each student. The trends graph show the graph of how many students have passed in each topic of a particular subject (Topic wise comparison graph) as well as how many students have passed in each subject (Subject wise comparison graph).

There is also the provision for a Trends graph of comparing how many students have passed topic wise in each subject at the midterm as well as final exams if there are two exams for the subject. The software maintains the details for each student as well as provides a facility for editing the student details if required. There is Password based access for Individual Answer Sheet, General Mark Lists and Trends Graphs. Authentication is provided Via Sessions and the password is stored in encrypted form (MD5 hash) in the database.

This Online Examination System in PHP and MySQL can be modified and customized to suit the need of any Educational Institutions, Primary and Secondary Schools, Colleges, Professional and Vocational Institutes, Universities or Training Academies. This software is particularly suited to conduct competitive exams like recruitment exams and Common Entrance Tests (CET) of various states as it will save valuable time spent on assessing the answer books and the results can be obtained immediately [20].

2.6Remote Administration of a Computer Base Assessment (Student Statement of Account Through SMS)

This project proposal is the latest technology approach for the development of Lyceum of Iligan Foundation to its available system to fir the current issues concerning in time flow, to simplify the procedure and to eliminate the hassle on inquiring the statement of account for every students in the Assessment Office. The purpose of developing this system is to give more convenient to both sides that will be using this system; the users and assessment remote administrator itself. The available counter system and management process of using GSM mobile phone with MODEM, in which the system programmed in Visual Basic Version 6 programming language.

The system is constructed using the interface system of a mobile phone through serial port to a server computer, that will receives data of information from the cellular phone, then it will be read by the program and process the information needed. Backplane data storage of Microsoft Access will serves as the database of information in which the program linker will fetch and execute and it will manually sends the desired information to the specified receiver cell phone. Looking to this system, there is a dedicated cellular phone from the server that will be serving the customers with an identified SMS number and this is the concept that is suitable to have a server and the customer satisfaction [21].

This is similar to the proposed study because it uses the GSM modem to transmit the information needed by the parents if their son/ daughter “pass” in the subject they enrolled, and this project proposal use the advance technology that can give the accurate information and time saving for the students, instructors and the personnel of Registrar’s Office.

This chapter would describe the methodological components such as research design, materials, tools, equipment and procedure.

3.1 Research Design

The design used in this applied research study was experimental. This will predict what may occur and will determine the circumstances of the academic performance through mobile phones.

3.2 Materials

The materials that was used in the construction of the prototype of this project proposal will be the USB Data Cable and the GSM Modem. Their specification will be presented in the appendices.

3.3Tools and Equipment

The tools and equipment that will be used in configuring the prototype were the Personal Computer, Visual Basic Software, Adobe Photoshop Software, AVR and Microsoft Office Software.

3.4 Procedures

The procedure of the proposal comprised of system flow of the study, registration of students in the registrar’s office and the editing of student’s performance rating.

3.4.1 System Flow of the Study

In doing the research, the materials were connected to the personal computer. Below would be the diagram how the systemwill be configured. The GUI would be displayed once the application is running. The instructor would submit his/her term grade sheet to the Dean for verification. The Dean would submit the collected grade sheet from the instructors to the office of the Registrar. The Registrar personnel would input the student’s grade per subject, per course, per department, per term, into the computer.

The computer would process the information and would display whether the student would get a passing or failing grade for the term. This rating would be sent to the mobile phone of the parents to alert them of the academic performance status of their children for their particular term. If the encoding of the grades will be done at the end of the semester, the remarks incomplete would also be part of the alert system if the student would be found lacking in academic requirements. These procedures were clearly understood using Figure 4 and 5.
