Currently in the housing sector where there is availability of apartments and rooms to rent, the customers face a great challenge in moving around looking for houses which suite their requirements from three bedroom apartments to single rooms. This takes a lot of time and resources since most bookings are not digitized.
Online Real Estate System can help the customers to book for rooms and apartments at the comfort of their homes and only prepare to move in at their own time. It also helps them to choose the type of apartments which suite their requirements at ease. Finally it helps the house agents to keep track of the bookings and be prepared as a customer is moving into the apartment, moreover they are able to obtain records and details of customers earlier for easy communication
In the modern world several organization are moving from manual management of their activities to digitizing them. Therefore it is wise to incorporate the housing sector with IT so as to facilitate easy bookings and payment management.
This system aims at improving the services offered by the real estate sector. This is made real when the customers book apartments and rooms at the comfort of their whereabouts and only move in at their own time.
This system is easy to use, responsive and flexible alternative to manual, paper-based apartment booking. The house agents can manage the house allocation dates, add the available rooms and print the customer details who are allocated the rooms. This helps;

2.Easy management of customers payment records and bookings
2.1 Problem statement
Landlords, house owners and their customers have been experiencing several day-to-day problems. These include the following; i)Keeping the records of all the customers who have been allocated rooms and apartments is difficult and insecure in case of fire breakout. ii)It is also difficult to effectively advertise the apartments and rooms. iii)Managing room allocation dates is also very challenging since a customer can decide to move any time and the checking out procedures may be longer than expected. iv)Apartment and room transfers are difficult since one is first required to check out and book the different room afresh.
2.2 Project justification
This project will help landlords and house owners to manage and advertise their apartments and rooms effectively. It will ensure that there is no time wasted in checking in customers and bookings since customers do that at their own time online. It will also help the house agents to know the number of customers who have booked the rooms and the remaining empty rooms. This is because the system creates a softcopy off all the respective records.
The aim of this project is to develop a unique online system that enables the individuals to book, transfer and make payments of rooms anywhere they are and generate house or room invoices immediately.
1.To provide a portal for house agents to advertise the apartments and rooms. 2.To enable customers and individuals to book rooms online after registration. 3.To enable house agents to access customer records and the respective rooms booked together with the commencing and end dates. 4.To minimize paper works by generating softcopy reports of house invoices, house or apartment records and the respective bookings. 5.To enable customers to transfer rooms and apartments easily and faster. 6.To process check outs faster and more effectively since the processing is only done online. 7.To generate house invoices immediately a customer books a room or an apartment.
The proposed system is a web application. It will address the problems and drawbacks experienced while using the current system of house bookings and processing. The system will allow customers to register and book rooms of their own comfort anywhere and print the house invoices.
2.6 Basic assumption of the study
•It is assumed that the business owner and the employees in the have the basic knowledge about the use of computer and internet.
•It is also assumed that the business premises have computer and adequate power supply and access to the internet
•It is also assumed that the customers have access to computers or mobile devices.
3.0 Literature Review
Kroenke. Hatch defines a management information system as the development and use of effective information systems in the organization. He adds on that an information system is effective if it helps to accomplish the goals of the people and the organization that use it. An Information system is an open system that seeks a set of related goals, producing information using the input-output cycle. (Acoff, Russell L, 1971) James C.Wetherbe 1979 defined a system as being a collection or arrangement of entities or things related or connected such that they form a unity or whole.
In their study of the role computer based management information systems can play in real estates in Asia, Vijayanand Kommaluri and Venigandla Kishore Babu (2003) noted that, the unprecedented population growth coupled with unplanned developmental activities has led to urbanization, which lacks infrastructure facilities. Part of the problem with today’s urban structure is that it was built at a time when planning awareness was substantially different from todays. Consequently, in trying to retrofit existing system to achieve today’s urban performance objectives, a major issue of concern today in the survival of our cities is the problem of real estate management. Real estate information management system is the essential part for a real estate enterprise and is very important for the decision-makers and managers.
Thomas Ricci, vice president of the implementation services division of Management Reports International, says that while the real estate industry has usually been slow in adopting new technology, “now companies are being forced to adopt new technology because of the growing recognition that their clients are more sophisticated and require greater efficiencies and more information.” One of the oldest providers in this relatively new field is National Facilities Group; whose product SLIM (Strategic Lease Information Management) reduces the costs associated with managing complex portfolios of leased and owned properties. One of the first challenges addressed by many of the latest real estate management information systems is the need for companies to be able to convert thousands of paper documents – from leases to contracts – into a secure digital form. Once in electronic or digital form, Brown says, the software program needs to be able to integrate with the company’s other accounting and management information systems, regardless of whether those systems are from SAP, PeopleSoft, Oracle or another third-party supplier. In addition, the information needs to be linked to the company’s other applications for fixed assets, maintenance and repairs.
4.1 Research design
Research study will be basically based on cross sectional involving a descriptive design. The data will be collected at each and every point in time. Secondly the system will be designed by coding the already drawn algorithm. Implementation and testing of a unit will follow; this will ensure that the various units are functional. The several parts will be then integrated to form the whole full system. Finally, it will be taken for a real life operation and maintenance.
4.2 Data collection
The methods to be used are;
a)Interviews. This involves interviewing of house owners and agents to gather all their requirements b)Questionnaires. This involves the restructuring of questions to capture specific area which will help a great deal in the system development.
4.2 Data analysis
The descriptive analysis approach will be used to describe and analyze sampled data and information to make abstraction of population phenomena.
In developing the Online Real Estate System (ORE), the following tools will be used for implementation:
A desktop or laptop personal computer with the following specifications
•At least Pentium III with C.P.U speed of at least 400MHz
•Minimum memory space of 512MB
•15” color monitor low power consumption and ups
•Minimum hard disk space of about 10GB
•An operating system that is either window 7 or window 8
•Database Management MYSQL database will be used with WAMP server as the server
•Networking component such as a modem
