Seitz Corporation has allocated funding for a structured project team to develop a plant in Huntsville, Alabama for plastics. The board of directors has employed the matrix organizational structure in order to create a distributing plant in a relatively short time frame. Although there could possibly be dilemmas and shortcomings of this type of leadership, the benefits could save the team and the project as it comes across risks and other events that could halt progress entirely. Using the matrix structure will be best for the corporation.
It allows team members to share information and coordinate it. It also helps the team progress more. This structure will benefit the company because it makes the manager become responsible for coordinating progress and reporting to the board, while the skill related professionals can work continuously and consistently towards completing their work. Some of the benefits of the matrix organizational structure include the fact that having people across department boundaries’ working together for a common goal means reduced costs in terms of having to bring in outside help. I have learned that project planning is one of the keys to the success of a project. what role the project manager plays in successfully completing a project from start to finish.
I have also learned best practices when in control of a project or taking over a project that is already in progress. From the development of the project plan, we used Microsoft project to create the schedule, enter resources and cost. Once this information is entered, it is helpful for the software to assist you in understanding where the problems in the project lie. MS Project is intelligent enough to assist with functions such as correcting over-allocated resources. When set up properly, it can also highlight the critical path and determine where we have flexibility in the schedule.
Knowing how each task could be impacted when its predecessors are late give the project manager an advantage of advanced knowledge of the schedule impact. With this knowledge, the project manager can manage the three constraints of a project and be flexible when projects problems arise. It is important for a project manager to be prepared and anticipate possible issues. The WBS is a dynamic tool and can be revised and updated as needed by the project manager. For a project to be successful I learned to create a project charter, scope statement, work breakdown structure and responsibility matrix.
The project charter the project charter is that starting point. The charter lays the foundation of the project. It includes a statement of the business’s needs. We learned that the scope statement is the defining statement of the project. It is the document that defines the project and is the basis for making decisions about the project. The scope statement is a dynamic document in that in the beginning it contains the information available, and as the project progresses, it is changed and added to. It is the primary document used for understanding the project and its nature. With every project there are risks.
Risk management includes both threats and opportunities. By definition, projects have risk. A risk management plan helps a project team manage that risk. The risk management plan (RMP) should be developed early in the life of the project. The plan should be revisited when a risk event occurs, and on a periodic basis. Risks will change over the duration of the project. Some types of risk will increase, while other types of risks will diminish. Most importantly, risks could occur as a result of unplanned scenarios that were not considered during planning. It is very important for project managers to be effective communicators.
Clear, concise, and timely communication can add clarity to a complex project. A project manager must be able to effectively communicate across geographic, technical, and business boundaries. From another perspective, a project manager with good communication skills can help an ailing project. Conversely, a project manager with poor communication skills can erode the focus of the project and jeopardize one or more of the triple constraints. ’’ Overall this project was very helpful for me in learning more about project management. It helped me learn how to plan, organize and manage a project in achieving all the goals and objectives.
